OhVetHire – InstaHire Process

The InstaHire feature on OhVetHire allows veterinary clinics to quickly book qualified veterinary professionals for urgent shifts. This document explains how InstaHire works for both Clinics and Professionals.

  1. Eligibility for InstaHire

Professionals
To be available for InstaHire, a Professional must:

  • Provide accurate details including name, contact information, ABN, payout (bank) details, and certificates.
  • Set their availability status as “Open to InstaHire.”
  • Display an hourly rate on their profile.

Clinics
Clinics using InstaHire must:

  • Have an active OhVetHire account with verified details (clinic name, contact person, email, phone, and images/logo).
  • Prepay through the Platform at the time of booking.
  1. Browsing Available Professionals

When a Clinic opens the app and selects InstaHire, they will see a list of Professionals who are currently available.

Clinic users can view each Professional’s profile, which includes:

  • Experience and qualifications
  • Services offered
  • Previous projects or work history
  • Reviews and ratings
  • Hourly rate
  • Availability
  • A short personal introduction
  1. Making a Booking
  1. The Clinic selects a Professional and chooses a date, time, and number of hours.
  2. The system shows the Professional’s hourly rate.
  3. The Clinic proceeds to the payment page and pays for the booking upfront.
  4. Once payment is complete, the Professional receives a notification that a Clinic has requested their services.
  1. Professional Response Window
  • Professionals have 15 minutes to accept the booking.
  • If accepted:
    • The booking is confirmed.
    • The job will appear under “Upcoming Bookings” (if future-dated) or “Ongoing Bookings” (if same-day).
    • A secure chat feature is enabled between the Clinic and Professional to confirm details.
  • If rejected or not accepted within 15 minutes:
    • The booking is cancelled.
    • The Clinic’s payment is automatically refunded (usually within the same day but may take up to 3–4 business days, depending on the bank).
  1. During the Booking

Once the job is confirmed, both Clinic and Professional will see:

  • Clinic’s address and Google Maps location
  • Date, day, and time of booking
  • Number of hours booked

The Professional attends the clinic and performs the agreed services.

  1. Completing the Job
  • When the shift is complete, the Clinic must click “Mark as Completed.”
  • Once this is done:
    • The Professional’s payment is released from the admin’s Stripe account.
  • If additional hours are worked, they must be arranged outside the app, as OhVetHire only covers the pre-booked time.
  1. Reviews & Ratings
  • After the job is completed and payment released, both parties will be prompted to leave a review.
  • Reviews help build trust and guide future hiring decisions.
  • Once submitted, the other party is notified that a new review has been received.
  1. Reporting Issues

If problems occur (e.g., no-shows, poor performance, disputes):

  • Clinics can use the “Report a Problem” button under Ongoing Bookings.
  • Professionals may also report issues after completion.
  • The report is sent to the OhVetHire admin team, who will investigate.
  • Admin may issue refunds, adjust payments, or take disciplinary action as appropriate.
  1. Admin Rights

OhVetHire reserves the right to:

  • Review all reported problems.
  • Refund or withhold payments based on findings.
  • Suspend or remove any Clinic or Professional from the Platform for misconduct, breaches, or repeated issues.
  1. Important Notes
  • Payments are only released once the Clinic confirms completion. Professionals are responsible for ensuring this step is taken.
  • Refunds may take 3–4 business days to reflect in a Clinic’s account.
  • Overtime or services outside the booked hours are not covered or payable through the app.
  • All transactions must occur through the Platform; off-platform payments are prohibited.

  1. Create Your Profile
    • Sign up with your details (name, contact info, ABN, payout details, and certifications).
    • Add your experience, services you offer, availability, and hourly rate (for InstaHire).
    • Upload your resume or supporting documents to strengthen your profile.
  2. Apply for Jobs
    • Browse job listings posted by clinics (full-time, part-time, or casual roles).
    • Apply directly through the app and connect with clinics.
    • Communicate with clinics through in-app messaging once your application is accepted.
  3. Set Availability for InstaHire
    • Switch on your availability for urgent shifts.
    • Clinics can instantly hire you for upcoming shifts, with payment securely handled through the app.

For Veterinary Clinics

As a Clinic, you can use OhVetHire to quickly find and manage staff:

  1. Create a Clinic Profile
    • Register your clinic with basic details, including contact person, logo/images, and location.
  2. Post Jobs
    • Create job listings for full-time, part-time, or casual roles.
    • Review applications from professionals and hire directly.
  3. Use InstaHire for Urgent Shifts
    • Browse available professionals who are ready for immediate hire.
    • Review their profiles, hourly rates, and reviews before booking.
    • Pay securely through the app, and the Professional is notified immediately.
